Grateful Patient Philanthropy: Lessons in Identifying, Engaging, and Managing High Potential Constituents

Part Two: Building the Infrastructure Behind the Program: Prospect Management, Data, Technology, and Organizational Alignment

This 50-minute session focuses on the internal systems required to turn grateful patient philanthropy from an occasional opportunity into a sustainable program.

Participants will explore how prospect development teams can help identify priority clinical areas and physicians, including consideration of patient acuity, volume, relationship intensity, and the likelihood that a meaningful care experience may generate gratitude. The session will also examine the importance of aligning prospect identification with organizational strategy, since grateful patients frequently direct their philanthropy toward the area of care that affected them personally.

Particular attention will be given to the speed and structure of the prospect management process. Topics will include timely access to data following discharge, HIPAA allowable information, screening and prioritization, assignment to gift officers, CRM workflows, clinician referral processes, and the potential use of EMR based notifications. The proper program model emphasizes that successful programs require integrated data, CRM, clinician engagement, metrics, and defined workflows rather than relying solely on individual referrals.

These operational concepts also have direct relevance outside healthcare. Higher education institutions face similar questions about how quickly to identify and qualify alumni following meaningful engagement. Social service organizations must determine how to responsibly use program and constituent data to identify potential advocates and donors. Across sectors, prospect development professionals play a central role in connecting institutional data, constituent experience, philanthropic capacity, and organizational priorities.
